How to Use Scheduled Changes for Classes

Learn how to use scheduled changes to temporarily modify class time slots for specific date ranges. Scheduled changes let you handle instructor vacations, location changes, or special events without affecting the entire class series.

Before You Begin

  • You must be logged in to your account at https://app.joinzipper.com
  • You need permission to manage schedules (typically organization owners and admins have this permission)
  • A class with time slots to modify
  • Date range when the change should apply

Steps

Step 1: Navigate to Class Edit Page

  1. Log in to your account at https://app.joinzipper.com/auth/login
  2. From the dashboard, click Calendar in the left sidebar
  3. Find the class you want to modify:
    • Browse your calendar
    • Or go to Classes and find the class
  4. Click on the class to open it
  5. You'll be taken to the class edit page

What happens next: You'll see the class details and time slots.

Step 2: Find Time Slot to Modify

  1. On the class edit page, find the Scheduling section
  2. You'll see all time slots for the class
  3. Find the time slot you want to modify
  4. Click on the time slot or find Manage option

What happens next: You'll see time slot management options.

Step 3: Open Scheduled Changes

  1. For the time slot, look for:
    • Add scheduled change button
    • Manage Schedule option
    • Or scheduled changes section
  2. Click Add scheduled change

What happens next: A scheduled change form will open.

Step 4: Set Date Range

  1. Start date: When the change should begin

    • Select the date when the change starts
    • Example: December 20, 2024
  2. End date: When the change should end

    • Select the date when the change stops
    • Example: January 5, 2025
    • Or leave open-ended if needed

Note: The date range determines which sessions will be affected by the change.

Step 5: Configure Change Details

  1. Override time (optional):

    • Change the start time for the date range
    • Example: Change from 9:00 AM to 10:00 AM
    • Leave unchanged if not modifying time
  2. Override location (optional):

    • Change the location for the date range
    • Select a different location
    • Or enter a new location
    • Leave unchanged if not modifying location
  3. Override instructor (optional):

    • Change the instructor for the date range
    • Select a different provider/instructor
    • Leave unchanged if not modifying instructor
  4. Day of week: Ensure the correct day is selected

    • Matches the time slot's day of week
    • Example: Monday if modifying Monday time slot

Note: You can override time, location, instructor, or any combination. Only override what needs to change.

Step 6: Preview Change

  1. Preview which sessions will be affected:

    • See list of sessions that will be modified
    • Verify the correct sessions are included
    • Check that date range is correct
  2. Review the preview:

    • Sessions within the date range will be changed
    • Sessions outside the date range remain unchanged
    • Verify the change matches your intentions

Important: Preview helps ensure you're modifying the correct sessions.

Step 7: Save Scheduled Change

  1. Review your scheduled change:
    • Date range is correct
    • Overrides are configured correctly
    • Preview shows correct sessions
  2. Click Save or Add scheduled change
    • The change will be saved
    • Sessions will be updated
    • You'll see a confirmation

What happens next: The scheduled change will be applied and:

  • Sessions within the date range are modified
  • Time, location, or instructor is changed (as configured)
  • Sessions outside the date range remain unchanged
  • Change is visible on your calendar
  • Customers see updated session details

Managing Scheduled Changes

After creating scheduled changes, you can:

  1. View all scheduled changes: See all changes for a time slot
  2. Edit scheduled changes: Modify date ranges or overrides
  3. Remove scheduled changes: Delete changes if no longer needed
  4. Multiple changes: Add multiple scheduled changes for different date ranges

Tips

  • Use scheduled changes for temporary modifications (holidays, vacations)
  • Preview changes before saving to ensure correctness
  • Override only what needs to change (time, location, or instructor)
  • Remove scheduled changes when they're no longer needed
  • Scheduled changes don't affect your regular schedule

Troubleshooting

Problem: I don't see "Add scheduled change" option Solution: Check that:

  • You're managing a time slot (not just viewing the class)
  • Time slot exists and is accessible
  • You have permission to manage schedules

Solution: Make sure you're managing the time slot. Contact your organization owner if you need access.

Problem: Scheduled change isn't affecting sessions Solution: Check that:

  • Date range includes the sessions you want to modify
  • Scheduled change is saved correctly
  • Sessions exist within the date range

Solution: Verify date range and scheduled change settings. Check that sessions exist in the date range.

Problem: Wrong sessions are being affected Solution: Check the preview:

  • Verify date range is correct
  • Ensure day of week matches the time slot
  • Review which sessions are included

Solution: Review preview carefully and adjust date range if needed.

Problem: I can't remove a scheduled change Solution: Check that:

  • Scheduled change exists
  • You're managing the correct time slot
  • You have permission to manage schedules

Solution: Verify scheduled change exists and you're managing the correct time slot. Refresh the page if needed.
