How to Set Capacity Limits
Learn how to set maximum capacity limits for events and classes. Capacity limits prevent overbooking and help you manage event size. When capacity is reached, new registrations are blocked or moved to waitlist.
Before You Begin
- You must be logged in to your account at https://app.joinzipper.com
- You need permission to manage schedules (typically organization owners and admins have this permission)
- An event or class to configure
Steps
Step 1: Navigate to Event or Class
- Log in to your account at https://app.joinzipper.com/auth/login
- From the dashboard, click Calendar in the left sidebar
- Find the event or class you want to configure:
- Browse your calendar
- Or go to Events or Classes and find it
- Click on the event or class to open it
What happens next: You'll see the event or class edit page.
Step 2: Find Capacity Section
- On the edit page, find the Capacity section
- This section contains:
- Maximum capacity setting
- Current registration count
- Waitlist options (if enabled)
Note: Capacity settings are typically in the Registration section for events and classes.
Step 3: Edit Capacity Settings
- In the Capacity section, look for Edit button or click to expand
- Find the capacity limit field:
- Maximum registrations: Field to enter capacity
- Capacity limit: Setting for maximum number of customers
What happens next: You'll see the capacity configuration field.
Step 4: Set Maximum Capacity
Enter maximum number of registrations:
- Enter the number of customers who can register
- Example: 20 means 20 customers can register
- Example: 50 means 50 customers can register
- Leave empty for unlimited capacity
How it works:
- When capacity is reached, new registrations are blocked
- If waitlist is enabled, customers can join waitlist instead
- Current registration count is shown
Note: Capacity limits help you control event/class size and prevent overbooking.
Step 5: (Optional) Enable Waitlist
Enable waitlist (if desired):
- Toggle Waitlist option to On
- When event/class is full, customers can join waitlist
- You can promote customers from waitlist when spots open
Set maximum waitlist size (if available):
- Enter maximum number of customers on waitlist
- Or leave unlimited
Note: Waitlists help you capture interest when events/classes are full.
Step 6: Save Changes
- Review your capacity settings:
- Maximum capacity is set correctly
- Waitlist is enabled (if desired)
- Settings match your needs
- Click Save or Save Changes
- Capacity limits will be saved
- You'll see a confirmation
- The capacity limit will take effect immediately
What happens next: Capacity limits will be configured and:
- Maximum registrations are enforced
- New registrations are blocked when full (or moved to waitlist)
- Current registration count is tracked
- Waitlist is available (if enabled)
How Capacity Limits Work
When capacity limits are set:
Before capacity is reached:
- Customers can register normally
- Registration count increases
- No restrictions
When capacity is reached:
- New registrations are blocked
- If waitlist is enabled, customers can join waitlist
- If waitlist is disabled, registration is completely blocked
When someone cancels:
- Spot becomes available
- If waitlist exists, you can promote customers
- If no waitlist, spot is available for new registrations
Tips
- Set capacity based on your space, instructor preferences, or class type
- Enable waitlists to capture interest when events/classes are full
- Monitor registration counts to see how close you are to capacity
- Adjust capacity as needed (increase if demand is high, decrease if needed)
- Use waitlists to fill spots efficiently from cancellations
Troubleshooting
Problem: I don't see capacity settings Solution: Check that:
- You're editing the Registration section
- Capacity settings are available for your organization
- You're on the event/class edit page
Solution: Make sure you're editing the Registration section. Contact support if capacity settings aren't available.
Problem: Capacity limit isn't working Solution: Check that:
- Capacity limit is set correctly
- Settings are saved
- Registration count hasn't exceeded capacity
Solution: Verify capacity settings are saved and check current registration count.
Problem: Customers can still register when full Solution: Check that:
- Capacity limit is set and saved
- Waitlist isn't allowing registrations (if you don't want waitlist)
- Settings are active
Solution: Verify capacity limit is set and waitlist settings are configured correctly.
Problem: I can't decrease capacity below current registrations Solution: This is expected behavior:
- You can't set capacity below current registration count
- Cancel some registrations first if you need to decrease capacity
- Or wait for cancellations before decreasing
Solution: Cancel some registrations or wait for cancellations before decreasing capacity below current registrations.
