How to Move a Lead to a Different Stage

Learn how to move leads between workflow stages to track their progress through your sales pipeline. Moving leads helps you manage the sales process and understand where each lead is in the funnel.

Before You Begin

  • You must be logged in to your account at https://app.joinzipper.com
  • You need permission to manage leads (typically organization owners and admins have this permission)
  • A lead that exists in your pipeline
  • A workflow with multiple stages

Steps

Step 1: Navigate to Lead

  1. Log in to your account at https://app.joinzipper.com/auth/login
  2. From the dashboard, go to Leads (or CRM → Leads)
  3. Find the lead you want to move:
    • Browse your pipeline
    • Search for the lead
    • Click on the lead to view details

What happens next: You'll see the lead details page.

Step 2: View Lead Details

  1. Click on the lead to open its details
  2. You'll see:
    • Lead information (name, email, phone, source)
    • Current workflow stage
    • Journey timeline
    • Other lead details

Note: Lead details show current stage and complete lead information.

Step 3: Find Stage Selector

  1. On the lead details page, look for:

    • Move to Stage button or option
    • Stage dropdown or selector
    • Stage management options
  2. Current stage is displayed:

    • See which stage the lead is currently in
    • Understand available next stages
    • Review workflow progression

Note: Stage selector allows you to change the lead's current stage.

Step 4: Select New Stage

  1. Click Move to Stage (or open stage selector):

    • See available workflow stages
    • Browse stages in your workflow
    • Select the new stage
  2. Choose the new stage:

    • Select the stage you want to move the lead to
    • Example: Move from "New Lead" to "Contacted"
    • Example: Move from "Qualified" to "Proposal Sent"
    • Stages follow your workflow progression

Note: Select the appropriate stage based on where the lead is in your sales process.

Step 5: (Optional) Add Journey Step

  1. Add journey step (if available):

    • Enter notes about the stage change
    • Describe what happened
    • Example: "Called customer, discussed needs"
    • Example: "Sent proposal via email"
  2. Journey step details:

    • Notes help track why the lead moved
    • Provides context for the stage change
    • Becomes part of immutable journey history

Note: Journey steps help you track lead progression and understand what happened at each stage.

Step 6: Save Changes

  1. Review your stage change:
    • New stage is correct
    • Journey step is added (if applicable)
    • Information is accurate
  2. Click Save (or Move to Stage)
    • Lead will move to the new stage
    • Journey step will be recorded
    • You'll see a confirmation

What happens next: The lead will be moved and:

  • Appears in the new workflow stage
  • Journey step is added to timeline
  • Lead progression is tracked
  • Stage change is recorded in history
  • Lead is visible in the new stage

How Stage Movement Works

When you move a lead:

  1. Stage changes:

    • Lead moves from current stage to new stage
    • Appears in the new stage in your pipeline
    • Removed from previous stage
  2. Journey tracking:

    • Journey step is recorded automatically
    • Stage change is added to timeline
    • History is maintained immutably
  3. Pipeline updates:

    • Lead count updates in each stage
    • Pipeline view reflects the change
    • Lead is trackable in new location

Tips

  • Move leads regularly to keep pipeline current
  • Add journey steps to track what happened
  • Use consistent stage progression
  • Review pipeline regularly to identify stuck leads
  • Move leads to appropriate stages based on progress

Troubleshooting

Problem: I don't see the "Move to Stage" option Solution: Check that:

  • You're viewing lead details (not just the list)
  • Lead exists and is accessible
  • You have permission to manage leads

Solution: Make sure you've opened the lead details. Contact your organization owner if you need access.

Problem: I can't select a stage Solution: Check that:

  • Workflow has stages defined
  • Stages are available and active
  • Workflow is properly configured

Solution: Verify workflow has stages. Contact support if workflow isn't configured correctly.

Problem: Lead didn't move Solution: Check that:

  • Stage change was saved successfully
  • Lead is visible in the new stage
  • Pipeline view is refreshed

Solution: Verify stage change was saved. Refresh the page and check the new stage.

Problem: Journey step wasn't recorded Solution: Check that:

  • Journey step was added when moving
  • Journey timeline is visible
  • Step was saved successfully

Solution: Verify journey step was added. Check journey timeline to see recorded steps.
