How to Manage Event Registrations

Learn how to view, manage, and handle event registrations. You can see who's registered, manage waitlists, cancel registrations, mark attendance, and issue refunds.

Before You Begin

  • You must be logged in to your account at https://app.joinzipper.com
  • You need permission to manage schedules (typically organization owners and admins have this permission)
  • An event with registrations to manage

Steps

Step 1: Navigate to Event

  1. Log in to your account at https://app.joinzipper.com/auth/login
  2. From the dashboard, click Calendar in the left sidebar
  3. Find the event you want to manage:
    • Browse your calendar
    • Or search for the event
  4. Click on the event to open its details

What happens next: You'll see the event details page.

Step 2: View Registrations

  1. On the event details page, find the Registrations section
  2. You'll see:
    • All registered customers: List of customers who have registered
    • Registration status: Active, canceled, waitlist, etc.
    • Registration details: Date registered, payment status, form responses
    • Waitlist (if enabled): Customers on the waitlist

Note: The registrations table shows all customer registrations with their status and details.

Step 3: View Registration Details

  1. View individual registration:

    • Click on a registration to see details
    • See customer information
    • View form responses (if forms were required)
    • Check payment status
    • See registration date and time
  2. View form responses:

    • Click View registration form to see form answers
    • Review customer responses to required forms
    • See waiver signatures or other form data

Note: Registration details help you understand each customer's registration and requirements.

Step 4: Manage Registrations

Cancel a Registration:

  1. Find the registration you want to cancel
  2. Click Cancel next to the registration
  3. Choose refund option:
    • Cancel with refund: Issues a refund
    • Cancel without refund: Cancels but keeps payment
  4. Confirm the cancellation
  5. The registration will be canceled and removed from the list

Promote from Waitlist:

  1. Go to the Waitlist section
  2. Find the customer you want to promote
  3. Click Promote next to their name
  4. Confirm the promotion
  5. Customer will be moved to active registration and notified

Mark Attendance:

  1. After the event occurs, mark customers as attended
  2. Find the registration
  3. Click Mark as Attended or Mark as No-Show
  4. Attendance data is saved for reporting

Issue Refunds:

  1. Find the registration that needs a refund
  2. Click to view registration details
  3. Look for refund options
  4. Issue refund if needed
  5. Refund status will be updated

Step 5: Reorder Waitlist (If Applicable)

  1. If waitlist is enabled, you can reorder it:

    • Drag and drop customers to reorder
    • Or use up/down arrows
    • Control who gets promoted first when spots open
  2. Reorder based on:

    • Registration time (first come, first served)
    • Priority customers
    • Other criteria

Note: Waitlist order determines who gets promoted when spots become available.

Step 6: Export Registration Data (Optional)

  1. If available, export registration data:
    • Click Export or Download
    • Choose export format (CSV, Excel, etc.)
    • Download registration data
  2. Use exported data for:
    • Reporting
    • External analysis
    • Record keeping

Tips

  • Review registrations regularly to stay informed
  • Promote from waitlist promptly when spots open
  • Mark attendance after events for accurate reporting
  • Use registration data to understand customer engagement
  • Export data for external reporting and analysis

Troubleshooting

Problem: I don't see registrations Solution: Check that:

  • The event has registrations
  • You're viewing the correct event
  • Registration section is visible

Solution: Make sure you're viewing the event details page and the event has registrations.

Problem: I can't cancel a registration Solution: Check that:

  • The registration is active (not already canceled)
  • You have permission to manage schedules
  • The event hasn't already occurred (if applicable)

Solution: Verify registration status and permissions. Contact your organization owner if needed.

Problem: Waitlist promotion isn't working Solution: Check that:

  • The event has available spots
  • Waitlist is enabled
  • Customer is on the waitlist

Solution: Verify event capacity and waitlist status. Make sure there are available spots before promoting.

Problem: I can't see form responses Solution: Check that:

  • Forms were required for registration
  • Form responses exist
  • You have permission to view form data

Solution: Verify forms were required and responses exist. Check permissions if needed.
