How to Control When Registration Opens and Closes

Learn how to set registration windows for classes and events to control exactly when customers can register. Registration windows help you manage booking timing and ensure registrations happen at the right time.

Before You Begin

  • You must be logged in to your account at https://app.joinzipper.com
  • You need permission to manage schedules (typically organization owners and admins have this permission)
  • A class or event to configure

Steps

Step 1: Navigate to Class or Event

  1. Log in to your account at https://app.joinzipper.com/auth/login
  2. From the dashboard, click Calendar in the left sidebar
  3. Find the class or event you want to configure:
    • Browse your calendar
    • Or go to Classes or Events and find it
  4. Click on the class or event to open it

What happens next: You'll see the class or event edit page.

Step 2: Find Registration Settings

  1. On the edit page, find the Registration section
  2. This section contains:
    • Registration form settings
    • Capacity limits
    • Waitlist settings
    • Registration window settings

Note: Registration windows are typically in the Registration section.

Step 3: Edit Registration Settings

  1. In the Registration section, look for Edit button or click to expand
  2. Find registration window settings:
    • Registration opens: When registration becomes available
    • Registration closes: When registration stops being available

What happens next: You'll see registration window configuration options.

Step 4: Set Registration Opens

  1. Choose how registration opens:

    Option 1 - Minutes Before Start:

    • Set Registration opens to number of minutes before class/event start
    • Example: 20160 minutes = 2 weeks before (14 days × 24 hours × 60 minutes)
    • Example: 10080 minutes = 1 week before
    • Example: 1440 minutes = 1 day before

    Option 2 - Specific Date/Time:

    • Set Open time frame to a specific date and time
    • Choose exact date and time when registration opens
    • Example: "January 1, 2024 at 9:00 AM"
  2. How it works:

    • Registration becomes available at the specified time
    • Customers can't register before this time
    • Registration opens automatically

Note: Choose the method that works best for your needs.

Step 5: Set Registration Closes

  1. Set when registration closes:

    • Set Registration closes to number of minutes before class/event start
    • Example: 120 minutes = 2 hours before class starts
    • Example: 60 minutes = 1 hour before class starts
    • Example: 30 minutes = 30 minutes before class starts
  2. How it works:

    • Registration stops being available at the specified time
    • Customers can't register after this time
    • Registration closes automatically before class/event starts

Note: Registration closes before the class/event starts to ensure proper preparation time.

Step 6: Save Changes

  1. Review your registration window settings:
    • Registration opens time is set correctly
    • Registration closes time is set appropriately
    • Settings match your needs
  2. Click Save or Save Changes
    • Registration windows will be saved
    • You'll see a confirmation
  3. Registration windows will take effect immediately

What happens next: Registration windows will be configured and:

  • Registration opens at the specified time
  • Registration closes before class/event starts
  • Customers can only register during the window
  • Windows are enforced automatically

How Registration Windows Work

When registration windows are set:

  1. Before registration opens:

    • Customers can't register
    • Registration is blocked
    • Message may show when registration opens
  2. During registration window:

    • Customers can register normally
    • Registration is available
    • All registration features work
  3. After registration closes:

    • Customers can't register
    • Registration is blocked
    • Waitlist may still be available (if enabled)

Tips

  • Set registration opens early enough to allow planning
  • Set registration closes with enough time before class/event starts
  • Use minutes before start for automatic timing
  • Use specific date/time for exact control
  • Test registration windows to ensure they work correctly

Troubleshooting

Problem: I don't see registration window settings Solution: Check that:

  • You're editing the Registration section
  • Registration window settings are available
  • You're on the class/event edit page

Solution: Make sure you're editing the Registration section. Contact support if settings aren't available.

Problem: Registration window isn't working Solution: Check that:

  • Settings are saved correctly
  • Times are set appropriately
  • Current time is within the window (if testing)

Solution: Verify settings are saved and times are correct. Check current time relative to window.

Problem: Customers can register outside the window Solution: Check that:

  • Registration window settings are saved
  • Settings are active
  • Window times are correct

Solution: Verify settings are saved and active. Check window times match your expectations.

Problem: Registration closes too early or too late Solution: Adjust registration closes time:

  • Edit Registration section
  • Change minutes before start
  • Save changes
