How to Cancel Multiple Class Sessions

Learn how to cancel multiple class sessions at once. This is useful when you need to cancel all sessions from a certain date forward, handle holidays, or make bulk changes to your class schedule.

Before You Begin

  • You must be logged in to your account at https://app.joinzipper.com
  • You need permission to manage schedules (typically organization owners and admins have this permission)
  • A class with sessions that need to be canceled

Steps

Step 1: Navigate to Class Edit Page

  1. Log in to your account at https://app.joinzipper.com/auth/login
  2. From the dashboard, click Calendar in the left sidebar
  3. Find the class you want to cancel sessions for:
    • Browse your calendar
    • Or go to Classes and find the class
  4. Click on the class to open it
  5. You'll be taken to the class edit page

What happens next: You'll see the class details and all its sessions.

Step 2: Open Cancel Sessions

  1. On the class edit page, look for the Cancel sessions button
  2. The button is typically red and located at the top of the page
  3. Click Cancel sessions

What happens next: A cancellation interface will open.

Step 3: Select Cancellation Date

  1. In the cancellation interface, you'll see options for canceling sessions
  2. Select the date from which you want to cancel all sessions:
    • Choose a date using the date picker
    • All sessions from this date forward will be canceled
    • Example: If you select "December 25", all sessions on and after December 25 will be canceled

Note: Sessions before the selected date will remain active. Only future sessions from the selected date onward will be canceled.

Step 4: Preview Affected Sessions

  1. The system will show you a preview of:

    • Which sessions will be canceled: List of sessions that will be affected
    • How many registrations will be affected: Number of customer registrations
    • Which customers are registered: List of customers who have registered for these sessions
  2. Review the preview carefully:

    • Verify the correct sessions are selected
    • Check that you're canceling the right date range
    • Review affected registrations

Important: Make sure you're canceling the correct sessions before proceeding.

Step 5: Choose Refund Option

  1. Select how to handle refunds for affected registrations:

    Cancel with refunds:

    • Automatically refunds all affected registrations
    • Customers receive refunds for canceled sessions
    • Refunds are processed automatically
    • Use this when you want to fully refund customers

    Cancel without refunds:

    • Cancels sessions but doesn't issue refunds
    • Customers keep their payments
    • Use this when sessions are canceled due to circumstances beyond your control
  2. Select your preferred refund option

Note: If punch card credits were used, they will be automatically restored regardless of your refund choice.

Step 6: Confirm Cancellation

  1. Review your cancellation settings:
    • Cancellation date is correct
    • Affected sessions are correct
    • Refund option is selected
  2. Click Confirm cancellation (or Cancel sessions)
    • The button will show a loading state while processing
    • Cancellation may take a moment for many sessions
  3. You'll see a confirmation when complete

What happens next: Sessions will be canceled and:

  • Removed from your calendar
  • Removed from customer calendars
  • Time slots become available for other bookings
  • Refunds are processed (if you chose to refund)
  • Punch card credits are restored (if used)
  • Customers are notified of cancellations

Alternative: End Time Slot Early

You can also cancel sessions by ending a time slot early:

  1. Go to the class edit page
  2. Find the time slot you want to end
  3. Edit the time slot's end date
  4. Set the end date to when you want to stop the time slot
  5. Save the changes
  6. All sessions for that time slot after the end date will be canceled

This is useful when you want to stop a specific time slot but keep others active.

Tips

  • Always preview affected sessions before canceling
  • Choose refund options carefully based on cancellation reasons
  • Consider notifying customers before bulk cancellations
  • Use "End time slot early" for more targeted cancellations
  • Review cancellation results to ensure all sessions were canceled correctly

Troubleshooting

Problem: I don't see the "Cancel sessions" button Solution: Check that:

  • You're on the class edit page (not just viewing the class)
  • You have permission to manage schedules
  • The class has sessions to cancel

Solution: Make sure you've opened the class edit page. Contact your organization owner if you need access.

Problem: Wrong sessions are being canceled Solution: Check the cancellation date:

  • Verify the date you selected
  • Preview shows which sessions will be canceled
  • Adjust the date if needed before confirming

Solution: Review the preview carefully and adjust the cancellation date if needed.

Problem: Refunds aren't processing Solution: Check that:

  • You selected "Cancel with refunds"
  • Payment processing is working correctly
  • Customer payment methods are valid

Solution: Verify refund option is selected. Contact support if refunds aren't processing.

Problem: Customers aren't being notified Solution: Customer notifications are typically sent automatically. Check that:

  • Customer email addresses are valid
  • Email notifications aren't disabled
  • Notifications are being sent (check email status)

Solution: Verify customer email addresses and check email notification settings.
