How to Block Out Specific Dates or Times

Learn how to block out specific dates or times using date overrides. This is useful for holidays, vacations, special events, or temporary schedule changes without affecting your regular availability schedule.

Before You Begin

  • You must be logged in to your account at https://app.joinzipper.com
  • You need permission to manage schedules (typically organization owners and admins have this permission)
  • A provider with an availability schedule set up

Steps

Step 1: Navigate to Scheduling

  1. Log in to your account at https://app.joinzipper.com/auth/login
  2. From the dashboard, click Calendar in the left sidebar
  3. Click Manage in the calendar actions (or go directly to https://app.joinzipper.com/dashboard/calendar/manage)
  4. Click the Availability schedules tab
  5. You'll see your availability schedules

Step 2: Select Provider and Schedule

  1. Find the provider whose schedule you want to modify
  2. Click on the schedule (or click Manage next to it)
  3. The schedule edit modal will open

What happens next: You'll see the schedule details and availability calendar.

Step 3: Open Date Override

  1. In the schedule edit modal, look for Date overrides or Add date override option
  2. Click Add date override (or similar button)
  3. A date override interface will open

Note: Date overrides allow you to temporarily modify availability without changing your regular schedule.

Step 4: Set Date Range

  1. Select date range:

    • Start date: Choose when the override begins
    • End date: Choose when the override ends
    • Example: Block out December 25 (single day) or December 20-31 (date range)
  2. Choose override type:

    • Block all availability: Completely block all times on these dates
    • Adjust specific times: Modify availability for specific time windows

Note: You can block entire days or adjust specific time windows.

Step 5: Configure Override Details

  1. If blocking all availability:

    • Select "Block all" or "Unavailable"
    • All time slots on the selected dates will be blocked
    • No appointments can be booked during these dates
  2. If adjusting specific times:

    • Select time windows to modify
    • Set new availability times
    • Or block specific time ranges
    • Example: Block 2pm-4pm but keep morning availability

Note: Date overrides are flexible and can handle various scenarios.

Step 6: Preview Changes

  1. Review the override preview:
    • See which dates will be affected
    • Check which time slots will be blocked or modified
    • Verify the override matches your intentions
  2. Make adjustments if needed:
    • Change date range
    • Modify time windows
    • Adjust override type

Important: Preview helps ensure you're blocking the correct dates and times.

Step 7: Save Override

  1. Review your override settings:
    • Date range is correct
    • Override type is selected
    • Time windows are configured (if applicable)
  2. Click Save (or Add override)
    • The override will be saved
    • You'll see it appear in your schedule
  3. The override will take effect immediately

What happens next: The date override will be applied and:

  • Blocks availability on selected dates (if blocking all)
  • Modifies availability for specific times (if adjusting)
  • Prevents new bookings during blocked times
  • Existing appointments are not affected
  • Your regular schedule remains unchanged

Managing Date Overrides

After creating overrides, you can:

  1. Edit overrides: Modify date ranges or time windows
  2. Delete overrides: Remove overrides when no longer needed
  3. View all overrides: See all active overrides for a schedule
  4. Temporary changes: Overrides don't affect your regular schedule

Tips

  • Use date overrides for temporary changes (holidays, vacations)
  • Block entire days for holidays or special events
  • Adjust specific times for partial availability
  • Remove overrides when they're no longer needed
  • Preview changes before saving to avoid mistakes
  • Date overrides are flexible and can be added or removed anytime

Troubleshooting

Problem: I don't see the "Add date override" option Solution: Check that:

  • You're editing a schedule (not just viewing)
  • You have permission to manage schedules
  • The schedule exists and is active

Solution: Make sure you've opened the schedule edit modal. Contact your organization owner if you need access.

Problem: Override isn't blocking availability Solution: Check that:

  • Override is saved correctly
  • Date range includes the dates you want to block
  • Override type is set to "Block all" (if blocking entire days)
  • Time windows are configured correctly (if adjusting times)

Solution: Verify override settings and date range. Make sure override is saved and active.

Problem: Existing appointments are affected Solution: Date overrides typically don't affect existing appointments. If they are:

  • Check override settings
  • Verify date ranges don't conflict with existing appointments
  • Contact support if existing appointments are incorrectly affected

Solution: Date overrides should only affect new bookings, not existing appointments.

Problem: I can't remove an override Solution: Check that:

  • You're editing the correct schedule
  • Override exists and is visible
  • You have permission to manage schedules

Solution: Make sure you're editing the schedule and override is visible. Delete the override from the schedule edit interface.
