How to Add Notes to Customers
Learn how to add notes to customer profiles to track important information, communication history, and team observations. Notes help you maintain context about customer interactions and preferences.
Before You Begin
- You must be logged in to your account at https://app.joinzipper.com
- You need permission to manage customers (typically organization owners and admins have this permission)
- A customer in your roster to add notes to
Steps
Step 1: Navigate to Customer Profile
- Log in to your account at https://app.joinzipper.com/auth/login
- From the dashboard, click CRM in the left sidebar
- You'll see your customer roster
- Find the customer you want to add a note to:
- Search by name or email
- Browse the customer list
- Click on the customer to open their profile
Step 2: Open Customer Profile
- Click on the customer's name or row in the roster
- You'll be taken to the customer's profile page
- You'll see customer details, booking history, payment history, and other sections
What happens next: You'll see the customer profile with various sections.
Step 3: Find the Notes Section
- On the customer profile page, scroll to find the Notes section
- The Notes section shows:
- Existing notes (if any)
- Add note button or input field
- Note history with timestamps
Note: If you don't see notes, they may be in a different section or tab.
Step 4: Add a Note
- In the Notes section, click Add note (or find the note input field)
- A note input field or modal will open
- Enter your note:
- Type the note content
- Include relevant information:
- Customer preferences
- Communication history
- Important observations
- Special instructions
- Follow-up reminders
- Example: "Customer prefers morning appointments. Mentioned interest in yoga classes."
Note: Notes can be as long or short as needed. Include relevant context for your team.
Step 5: Set Note Visibility
Visibility options: Choose who can see this note:
- Team only: Only your team members can see this note
- Visible to customer: Customer can see this note (if configured)
- Specific visibility: Set custom visibility rules if available
Select your preferred visibility setting
Important: Choose visibility carefully. Some notes should be team-only, while others can be shared with customers.
Step 6: Save the Note
- Review your note:
- Content is accurate and helpful
- Visibility is set correctly
- Click Save (or Add note)
- The note will be saved and timestamped
- You'll see it appear in the Notes section
- The note input will clear, ready for another note
What happens next: Your note will be:
- Saved to the customer profile
- Timestamped with date and time
- Visible to team members (based on visibility settings)
- Part of the customer's note history
Viewing Notes
After adding notes, you can:
- View note history: See all notes in chronological order
- Filter notes: Filter by date, author, or visibility
- Edit notes: Update notes if information changes (if permitted)
- Delete notes: Remove notes if no longer needed (if permitted)
Tips
- Add notes after important customer interactions
- Include dates and context in your notes
- Use notes to track customer preferences and history
- Set appropriate visibility to protect sensitive information
- Keep notes concise but informative
- Use notes for team communication about customers
Troubleshooting
Problem: I don't see the Notes section Solution: Check that:
- You're viewing the customer profile (not just the roster list)
- Notes section exists for your organization
- You have permission to view notes
Solution: Make sure you've opened the customer profile. Contact your organization admin if Notes section isn't available.
Problem: I can't add notes Solution: Check that:
- You have permission to manage customers
- You're on the customer profile page
- Notes feature is enabled for your organization
Solution: Verify permissions with your organization admin. Make sure you're on the customer profile page.
Problem: Notes aren't saving Solution: Check that:
- You've entered note content
- You've clicked Save
- Your internet connection is stable
Solution: Make sure note content is entered and click Save. Check your connection if issues persist.
Problem: I can't see notes from other team members Solution: Check visibility settings:
- Notes may be set to "Team only" but you might not have team access
- Visibility settings control who can see notes
- Contact your organization admin to verify team access
