How to Add a Cancellation Policy Agreement to Classes
You can require customers to acknowledge your cancellation policy when registering for classes by adding it to your registration form.
Steps to Add a Cancellation Policy
Step 1: Create or Edit a Form
- Go to Forms in the left sidebar
- Either create a new form or edit your existing registration form
- This form will be attached to your classes
Step 2: Add a Policy Acknowledgment Field
- Add a new field to your form
- Choose field type: Checkbox or Agreement
- Configure the field:
- Label: "Cancellation Policy Agreement" (or similar)
- Description: Include your full cancellation policy text
- Make it required so customers must check it
Example text:
"I understand and agree to the cancellation policy: Cancellations made less than 24 hours before class will be charged a $15 late cancellation fee. No-shows will forfeit their class credit."
Step 3: Attach the Form to Your Class
- Go to Calendar > Classes
- Edit the class or event type
- Find the Form setting
- Select your form with the cancellation policy
- Save changes
What Customers See
When registering for the class:
- They'll see your registration form
- The cancellation policy checkbox will appear
- They must check the box to complete registration
- Their agreement is recorded with a timestamp
Viewing Policy Agreements
To see who agreed to the policy:
- View the class registrations
- Click on a registration
- View form responses - you'll see their acknowledgment
Tips
- Be clear: Write your policy in plain language
- Be specific: Include timeframes and fees
- Be visible: Make sure the policy text is readable, not hidden
- Be consistent: Use the same form for all classes with the policy

If your policy is lengthy:
- Create a cancellation policy page on your website
- In the form field, include a link: "I have read and agree to the Cancellation Policy"
- The link opens your full policy page
Enforcing the Policy
Having customers agree to the policy helps you:
- Charge late cancellation fees with clear justification
- Handle disputes with documented agreement
- Set clear expectations upfront
